Implementation Stages
1. Introduction Call
Meet all stakeholders and establish alignment on your organization’s wellness goals and priorities.
2. Implementation Call
Walk through the roadmap and checklist together, assigning clear owners for each step. During this call, key feature settings will also be confirmed—primarily related to Rewards, Recognition, and any customizations.
3. Technical Setup

SSO, Active Directory sync, and app permissions are typically completed within 2–4 weeks.

The actual configuration work usually takes less than an hour.

Timelines depend largely on your IT team’s availability to review, approve, and test.
4. Testing & Validation
Integration testing and early user validation ensure everything is fully functional prior to launch.
5. Launch Prep
We provide a full marketing toolkit (email templates, flyers, guides) and can host live demos to encourage employee participation.
6. Admin Training
HR and benefits teams receive training on reporting, engagement tools, and best practices.
7. Ongoing Support
Post-launch, we hold monthly check-ins and recurring business reviews to sustain engagement and continuously optimize results.
Your Part in the Process
HR/Admin Team

Collaborate with Wellness Coach to shape the right wellness program for your employees.

Confirm program features such as Rewards, Recognition, and Team Coaching (when applicable).
Internal Communications/Marketing

Confirm preferred communication channels (email, intranet posts, live or recorded demos, etc.).

Review and approve tone, voice, and brand guidelines for launch materials and benefit resources.
IT Admins

Assist with configuring SSO or Eligibility File sync (via SFTP).

Confirm through user testing that configurations are correct.

Safelist Wellness Coach to prevent firewall issues.

Complete any required security reviews (Wellness Coach passes all standard reviews).
Collaboration Approach
We approach implementation as a shared project team. Your Implementation Manager will host regular check-ins (bi-weekly recommended) to keep milestones on track.
Together, we co-create your launch plan. Wellness Coach provides the tools, training, and strategy, while your team drives internal adoption and champions wellness across the organization.
